Last updated October 20, 2026

Draft — pending legal review. This page describes how Pinok works today, but it isn’t in force yet. Items in [brackets] are still to be confirmed.

In short

  • What you write stays yours. We use it only to run Pinok for you and the people you share it with: no ads, no selling it, no training AI on it.
  • You sign in with a code sent to your email, so whoever controls that inbox controls the account.
  • A workspace belongs to the people who use it, and its owner decides who is in it. Personal tasks stay private to the people on them.
  • Free stays free. Every workspace has Team free while we launch, and we’ll give at least 30 days’ notice before paid plans start.
  • You can leave at any time and delete your account in the app. What you wrote in shared tasks stays with your team, without your name.

1. Who this agreement is with

These terms are between you and [Company legal name], [Legal form], registered at [Registered address] ([Registration number and register]) (“we”, “us”). By creating an account or using Pinok on iPhone, Android or the web, you agree to them. If you use Pinok for a company or another organisation, you confirm that you may accept these terms on its behalf, and “you” includes it.

Pinok is meant for work, and not for children: you must be at least [16] years old to use it.

2. Words we use

  • Account: your sign-in, tied to one email address.
  • Workspace: a team’s shared space, with its projects, people and personal tasks. You can be in several.
  • Workspace owner: the person who created the workspace, or to whom it passed.
  • Project admin and member: the two roles people have on a project.
  • Content: everything people put into Pinok: tasks, notes, comments, files, photos, names.
  • Personal task: a task outside any project, visible only to its creator, owner, approver and followers.
  • Free and Team: the plans described on the pricing page.

3. Your account and signing in

  • There are no passwords. You sign in with a six-digit code sent to your email. Keep that inbox safe: anyone who can read it can sign in as you.
  • One person per account. Use a name your teammates will recognise.
  • You are responsible for what happens in your account and for the people you invite.
  • Tell us through the contact form (topic “Security”) if you think someone else has used your account.

4. Workspaces, projects and roles

The person who creates a workspace owns it. The owner names it, sets its work days and decides who belongs to it, and can remove anyone. Project admins decide a project’s people and settings; members work with its tasks. If an owner deletes their account, the workspace passes to its longest-standing member; a workspace with nobody else in it is deleted.

Content in a workspace belongs to the workspace and is controlled by its owner, with one exception: a personal task stays private to its creator, owner, approver and followers, even from the workspace owner. That is how Pinok is designed, and workspace owners accept it by using it.

5. Inviting people

Invite only people who expect it. An invitation is accepted automatically when the invited address signs in to Pinok, so check the address before you send it; the workspace owner can remove anyone who joined by mistake. To prevent abuse, a person can send up to 50 invitations a day, and a workspace can have up to 200 open invitations.

6. Your content

You keep every right you have in your content. You give us a worldwide, non-exclusive licence to host, copy, process, transmit and display it only as needed to run Pinok for you and the people you share it with: to store it, sync it to your devices, show it to your teammates, send notifications and produce the exports you ask for. This licence ends when the content is deleted, except for copies kept for the periods in the Privacy Policy.

We don’t sell your content, show ads, or use it to train artificial intelligence models. Pinok has no AI features.

You are responsible for having the right to share what you put into Pinok, and for not putting in special categories of personal data (such as health records) that Pinok isn’t designed for.

7. Shared work when someone leaves

Teamwork only works if the history stays readable. When you leave a workspace or delete your account, what you wrote in shared tasks (comments, files, history lines) stays with the team, shown as written by “Deleted user”. Your private tasks are deleted. The details are on Delete your account and export your data.

8. Plans and payment

Pinok has two plans: Free, with limits on people, active projects and file storage, and Team, a paid plan per person. Billing isn’t open yet: while we launch, every workspace gets Team free and no limits apply. We will tell you in the app and by email at least 30 days before paid plans start, and you can always stay on Free. Nothing you use for free will be charged without your agreement.

When billing opens, the Billing and refunds terms will apply to paid plans. Free and the launch offer are provided as they are, and may change with notice.

9. Acceptable use

Don’t use Pinok to break the law, harm people, send spam, or attack the service or other users. The Acceptable Use Policy spells this out and is part of these terms. We may remove content or suspend an account that breaks it. We will tell you why and give you a chance to respond, unless the law or someone’s safety prevents it.

10. Services you choose to connect

  • Calendar feed. If you subscribe to your tasks in Apple Calendar, Google Calendar or Outlook, that service fetches and stores your feed under its own terms. The feed’s link is a secret: anyone who has it can read the tasks in it until you replace it or turn it off.
  • Push notifications are delivered by Apple and Google through Expo’s push service and show on your lock screen as your phone is set up to show them.
  • Imports read a file you choose from another service; that service’s terms apply to the export you make there.

11. App stores

When the Pinok apps are in the App Store and Google Play, those stores’ terms also apply to downloading the apps. Apple and Google aren’t parties to these terms and aren’t responsible for Pinok or its support. If you got the app from Apple’s App Store, Apple and its subsidiaries are third-party beneficiaries of these terms and may enforce them. [to confirm: Apple’s minimum terms for a developer’s licence agreement, or Apple’s standard licence]

12. Changes to the service and these terms

Pinok changes often: features are added, changed and sometimes removed. If we change these terms in a way that matters to you, we will tell you in the app or by email before the change takes effect. If you don’t agree, you can stop using Pinok and delete your account; continuing to use it after the change means you accept it.

13. Ending

You can stop using Pinok and delete your account at any time (Profile → Account → Delete account), or ask us to delete it without the app. We may end Free, the launch offer or the whole service with at least [30 or 90] days’ notice, and we will give you a way to take your content with you first: a project export as CSV or JSON, and a backup of the workspace for its owner. We may suspend or end an account at once for a serious breach of these terms.

14. Disclaimers

We work hard to keep Pinok fast, available and correct, but to the extent the law allows, Free and the launch offer are provided “as is” and “as available”, without warranties of any kind, including fitness for a particular purpose. Pinok helps teams keep track of work; it doesn’t do the work, and it can’t promise that a task gets done or a reminder is read.

15. Liability

To the extent the law allows, we are not liable for indirect, incidental or consequential losses, or for lost profits, revenue or data, and our total liability for any claim is limited to [the amount you paid us in the 12 months before the claim, or USD 100 if you paid nothing]. Nothing in these terms limits liability that the law doesn’t allow to be limited, such as liability for fraud, or for death or personal injury caused by negligence.

If you use Pinok for a business, you will cover our reasonable costs from claims by third parties caused by content you put into Pinok in breach of these terms. [to confirm]

16. If you are a consumer

If you use Pinok as a consumer, you keep every right that the law where you live gives you and that can’t be waived, for example the right to bring a claim in your local courts. Nothing in these terms takes those rights away.

You may not use Pinok where the law forbids it, including if you are subject to sanctions that apply to us or our service providers. [to confirm: export controls and sanctions]

17. Governing law and disputes

These terms are governed by [Governing law]. Disputes go to [Competent courts], except where consumer law gives you the right to go to your own courts. Before going to court, please write to us: most things can be solved in a conversation.

18. Contact

Write to us through the contact form, or by post to [Company legal name], [Registered address]. Who we are is on the imprint.
